Unleashed order entry from emailed purchase orders

Many Unleashed users still retype the POs that bigger customers email, even with a B2B store running. An order entry agent reads each emailed PO and creates a parked sales order in Unleashed for your team to check and complete.

Where Unleashed users still retype orders

Unleashed's B2B store is a good answer for customers who will order online: trade accounts, repeat buyers, smaller shops. Once it is running, those orders arrive in Unleashed without anyone keying them.

The orders that do not go through it are the ones from larger buyers. A council, a mine or a construction company raises a purchase order in its own procurement system and emails the PDF. Their buyer will not log in to each supplier's store to enter the same order again. Neither will a hospital or a facilities manager with a dozen suppliers. So those POs land in the orders inbox, and someone types them into Unleashed line by line.

For many wholesalers those are the biggest orders of the week, with the most lines, the strangest part numbers and the least room for error.

How the agent writes to Unleashed

There are two routes, and both end with a parked sales order:

  • Through the Unleashed API. Unleashed has a public API that software can use to work with sales orders. The agent creates each order as Parked, with the customer, products, quantities and prices filled in, and the original PO attached to the review screen.
  • Through a sales order import file. Unleashed's import template creates new sales orders, and according to Unleashed's help pages, checked on 13 October 2026, imported orders always arrive as Parked. Approved orders can leave as a file in that template for your team to import.

Parked is Unleashed's own term for an order that has been created but not yet placed. That suits order entry: the order is in the system with every line filled in, and nothing moves until someone on your team completes it.

Customer codes, product codes and price tiers

Unleashed identifies customers and products by code. The agent's matching work is to get from what the PO says to those codes:

  • Customer. The PO's company name, the sender's email domain and the delivery address are matched to your Unleashed customer code. A new delivery address on an existing account is flagged, not guessed.
  • Products. The customer's part numbers are mapped to your product codes from their past orders and a part-number table. Every correction your team makes is kept for next time.
  • Prices. Each line is priced from the customer's price tier or their specific prices in Unleashed and compared with the PO price. Differences are flagged with both figures.

Because the import route needs customers and products that already exist in Unleashed, a PO for a new customer or a product you have never sold stops in the review screen with a note, instead of failing an import.

What we need

  • An API key for a user whose role can read customers and products and create sales orders.
  • Exports of your customer and product lists, including any customer-specific codes you already keep.
  • For a shadow test: a month of order emails and the sales orders they became. The test runs read-only and never writes to Unleashed.

Unleashed order entry questions

Can Unleashed import sales orders?

Yes. Unleashed has a sales order import template under its sales order import and export screen. According to Unleashed's help pages, checked on 13 October 2026, imported sales orders are always created as Parked, the customers and products must already exist, and each import file is limited to 1,000 rows.

Does this replace the Unleashed B2B store?

No. Keep the B2B store for the customers who use it. The agent handles the orders that do not come through it: POs emailed from customers' own procurement systems, scans and orders typed into an email.

What status do the orders arrive in?

Parked. A parked sales order is in Unleashed but not yet placed, so your team checks it, adjusts anything flagged and completes it in Unleashed as usual. Nothing is completed without a person.

What access do you need?

An Unleashed API key for a user whose role can read customers and products and create sales orders, plus exports of your customer and product lists for the shadow test. For import-file mode, the user needs permission to import sales orders.

See it on your own orders

A free shadow test runs a month of your emailed orders through the agent. Read-only, about a week.
