MYOB order entry without the retyping
MYOB order entry usually means someone retyping emailed purchase orders into Exo or AccountRight. An order entry agent reads each order, drafts the sales order in MYOB, and waits for a person to approve it.
How orders get into MYOB today
Most MYOB distributors get orders in three ways, and only one of them is automatic:
- Keyed by hand. Someone opens each emailed PO and types it into a sales order: customer, lines, quantities, prices, delivery address. This is where the hours go.
- Import files. Some teams paste orders into a spreadsheet laid out for MYOB's import and load it in a batch. It saves keystrokes, but someone still builds the spreadsheet from the PO.
- Webstore integrations. A webstore or B2B portal can push its orders into MYOB. That covers the customers who order on the webstore and nobody else.
The emailed POs from bigger customers, such as mines, councils, builders and other businesses with their own procurement systems, fall into the first group. That is the work the agent takes over.
MYOB Exo
Exo has an API that third-party software can use to work with sales orders. Access to it is licensed through your Exo business partner. The agent writes draft sales orders through that API, priced from your Exo price policies, and leaves them for your team to approve.
Before setup we confirm two things with you and your partner: that your Exo version and API licence can create sales orders, and which user the agent acts as. Until the API is ready, the agent works in import-file mode, so you can start without waiting.
MYOB AccountRight
AccountRight's API includes sale orders, which software can create for a company file once the connection to that file is approved. The agent drafts each sales order there with the customer, items, quantities and prices, and your team reviews and finalises it in AccountRight as usual.
AccountRight files that live online connect through MYOB's cloud API. If your file is local, tell us in the shadow test form and we will work out the route with you.
MYOB Acumatica (formerly MYOB Advanced)
MYOB Acumatica is a larger system with its own integration options. We start Acumatica customers in import-file mode, which works from day one, and look at a direct connection once we have seen your setup. Ask us about it rather than assuming either way.
Import-file mode
Import-file mode is how the agent works with any MYOB product before, or instead of, a direct connection:
- Orders are read and matched exactly as in API mode, and a person approves each one in the review screen.
- Approved orders leave as a file laid out for your MYOB product's sales order import.
- Price and stock checks use your daily exports from MYOB, so stock can be a day old. The review screen says so.
For many desks this already removes most of the keying. The direct connection then saves the import step and keeps stock current.
If you change ERP later
Distributors move off MYOB products as they grow, often to Acumatica, Business Central or NetSuite. The valuable part of an order entry setup is the mapping it builds: which customer code means which of your items, which buyer belongs to which account, which delivery address is which site. That mapping is yours and moves with you. Only the connection at the end changes.
What we need from your MYOB partner
- API access that can read customers, items, prices and stock and create sales orders, or for import-file mode, a daily export of those lists.
- The partner's contact for setup questions, so changes to your MYOB system stay in their hands.
- A test company file or a quiet period to confirm drafts land as expected before live orders run.

MYOB order entry questions
Can sales orders be created in MYOB automatically?
Yes. MYOB Exo and MYOB AccountRight both have APIs that software can use to create sales orders, and MYOB products can import sales data from files. An order entry agent uses one of those routes to put a draft sales order in MYOB for a person to approve.
Does it work with MYOB Exo?
Yes. The agent writes draft sales orders through the Exo API, which your Exo partner licenses. Before setup we confirm that your Exo version and API access can create sales orders. Until that is in place, the agent works in import-file mode.
Does it work with AccountRight?
Yes. AccountRight's API supports creating sales orders, and the agent drafts them there for your team to approve. Access to a company file has to be approved for that file first.
What about MYOB Acumatica?
MYOB Acumatica, formerly MYOB Advanced, starts in import-file mode: approved orders leave as a file your system imports. Ask us about a direct connection; we confirm what your setup allows before promising one.
Do we need to change anything in MYOB?
No changes to your prices, stock or setup. The agent needs API access, or for import-file mode a regular export of customers, products, prices and stock. Your MYOB partner usually arranges the access.
